What to put on an HVAC contractor invoice
- A diagnostic or seasonal service fee
- Labor, which climbs sharply with attic, crawlspace, or rooftop access
- Refrigerant, filters, ductwork, and replacement components
- Equipment supplied, which usually dominates a full system job
Notes worth adding to an HVAC contractor invoice
- Equipment make, model, and serial numbers for warranty registration
- Refrigerant type and amount added
- Filter size and the next recommended service date
- Permit number for equipment replacement where required
Licensing and permits for HVAC contractors
Anyone who buys or handles refrigerant must hold EPA Section 608 certification, which is federal. On top of that, many states license HVAC or mechanical contractors, and equipment changes often need a permit. Check your state board and local building department for the current requirements.
